Policy Owner: Human Resources (HR Services Unit)
Effective Date: 9/15/1995

Deletion Date:  5/16/2011

  1. Recruitment advertisements are placed through HR Services with an advertising agency. The advertising agency provides several services to the University:
    • Writes and designs advertisements;
    • Provides publication suggestions with cost estimates; and
    • Performs media research for target advertising, e.g., minority recruitment, industry organizations, industry publications, direct mail lists.
  2. To request recruitment advertising, notify HR Services or state request on the requisition. The request should include any requirements for target recruitment advertising. Approval for recruitment by the appropriate Dean or Vice Chancellor and determination of appropriate classification by HR Services need to be completed before the advertisement can be published.
  3. HR Services will provide suggested publications, cost estimates, and a copy of the text. Once the ad has been approved by the appropriate hiring unit, it will be placed in the selected publications.
  4. The Employment Office receives all invoices from the advertising agency from which the hiring unit will be charged for payment.
  5. Flyers announcing an employment opportunity can be used as a tool for recruitment. Minimum requirements should reflect the minimum requirements posted in the Employment Opportunities Bulletin. Flyers can be mailed using the same mailing list as the Employment Opportunities Bulletin which includes all UC campus personnel offices, southern California State Universities, local community colleges, minority organizations, southern California Employment Development Department offices, local libraries, and other organizations. The advertising agency can also create a direct mail list, e.g., membership rosters of professional organizations. The Employment Opportunity masthead is located in Printing and Reprographics and the various campus copy centers. The dimensions of the text must be at least 3 1/2" from the top and 3/4" from the sides and bottom. Mailings are handled by departments, however, HR Services is available to assist in writing announcements.
